Are you looking to automate your workflow and streamline your processes using Wix, Make.com, and HubSpot? In this guide, we'll walk you through the steps to take a Wix form submission and pass that data via webhook through Make.com to both Wix and HubSpot, before finally sending a confirmation email. This process is ideal for managing waitlists, collecting leads, and keeping your databases up-to-date.
Whether you're managing a community waitlist or gathering contact information for future marketing campaigns, this integration will save you time and ensure that your data is captured accurately. Let's dive in!
1. Setting Up Your Wix Form
To get started, you’ll need a form on your Wix website. For this example, we’re using a waitlist form for our Make.com community, where members get early access to exclusive scenarios, tutorials, and discounts.
Here’s what the form includes:
First Name
Last Name
Email Address
Submit Button
Once a user submits their information, this form triggers a series of actions through Make.com, Airtable, and HubSpot.
2. Connecting Wix Forms to Make.com via Webhook to automatically pass captured leads
First, let’s set up the webhook in Make.com, which will act as the bridge between Wix and other platforms.
Create a Custom Webhook: In Make.com, search for "Custom Webhook" and select the "Instant" option. This ensures that the data is captured and processed as soon as it's submitted.
Copy the Webhook URL: Once your webhook is set up, copy the URL. This URL will be used in Wix to send form data to Make.com.
3. Configuring Wix Automations
Next, head back to Wix to set up the automation that sends form data to the Make.com webhook.
Navigate to Automations: After building your form, go to Wix Automations and create a new automation.
Set the Trigger: Choose "Form Submitted" as the trigger, and specify which form (e.g., "Join the Waitlist").
Send Data via Webhook: Add an action to send data to the webhook URL you copied from Make.com. This action ensures that every time a form is submitted, the data is sent to Make.com instantly. Note: ensuring the lead form is automating correctly at this stage is crucial to the rest of the workflow.
4. Routing Data to Airtable, HubSpot, and Gmail
With the webhook in place, you can now configure Make.com to route the form data to multiple platforms. Here’s how you do it:
Airtable: Create a new record in Airtable, adding the first name, last name, email, and source (i.e., the form name). This allows you to keep a clean and organised list of submissions.
HubSpot: Create or update a contact in HubSpot. This ensures that your CRM is always up-to-date with the latest information from your forms. Additionally, add the contact to a specific list, such as your "Workflow Community" list.
Gmail: Finally, send a confirmation email using Gmail (or any other email service you prefer). Personalise the email with the contact’s first name, and include a thank you message along with any relevant details or next steps.
5. Running a Test
Before you go live, it's important to test the entire workflow to ensure everything is working as expected. Here’s how:
Submit a Test Form: Fill out the form on your website.
Check Airtable: Verify that the data has been correctly added to your Airtable base.
Check HubSpot: Confirm that the new contact has been created and added to the appropriate list in HubSpot.
Review the Email: Finally, check your inbox to see if the confirmation email was sent correctly.
Once you've confirmed that all steps are functioning properly, your workflow is ready to go live!
By following this guide, you can automate your data collection process and seamlessly integrate Wix forms with Make.com, Airtable, HubSpot, and Gmail. This not only saves you time but also ensures that your data is consistently and accurately processed.
